What data we collect and why
- Waitlist sign-ups — When you join our waitlist, we collect your first name and email address (both required). We use this to notify you when ForeignerInPoland launches, to personalise communications, and to send you occasional updates and marketing communications in the meantime. Legal basis: your consent (Article 6(1)(a) GDPR).
- Newsletter subscribers — When you subscribe to our newsletter via the Guides section, we collect your name and email address. We use this to send you guides, resources, and news relevant to living in Poland as a foreigner. Legal basis: your consent (Article 6(1)(a) GDPR).
- Professional submissions — When a professional submits a listing through our registration form, we collect their name, professional title, city, districts, languages, consultation types, contact details (email and phone), bio, and any other information they choose to provide. We use this to review and, if approved, display their profile publicly on the platform. Legal basis: performance of a contract or pre-contractual steps (Article 6(1)(b) GDPR).
- Contact form — When you contact us via the contact form, we collect your name, email address, and message content. This is delivered to us by email and is not stored in our database. Legal basis: legitimate interests in responding to your enquiry (Article 6(1)(f) GDPR).
- Analytics — We use Google Analytics 4 via Google Tag Manager to understand how visitors use our site. This may involve cookies and the collection of anonymised browsing data such as pages visited, time on site, and approximate location. We only enable analytics with your consent, which we request via our cookie banner. Legal basis: your consent (Article 6(1)(a) GDPR). You can withdraw consent at any time via the cookie settings.
Marketing communications
If you have joined our waitlist or subscribed to our newsletter, you may receive:
- A launch announcement when ForeignerInPoland goes live
- Occasional emails about new features, guides, or updates relevant to expat life in Poland
- Relevant news or resources we think would genuinely be useful to you
We send infrequently. We do not send spam, and we do not share your email address with any third party for marketing purposes.
You can unsubscribe at any time by clicking the unsubscribe link in any email we send, or by emailing us at foreignerinpoland@outlook.comwith the subject “Unsubscribe”. We will process your request within 5 working days. Unsubscribing from marketing emails does not affect any transactional communications related to your professional listing.
Who we share your data with
We use the following third-party services to operate the platform:
- Supabase — cloud database and authentication
- Resend — email delivery
- Google Analytics / Google Tag Manager — analytics (with your consent)
- Vercel — website hosting
Each provider acts as a data processor on our behalf and is subject to appropriate data processing agreements. We do not sell your personal data to anyone.
How long we keep your data
- Waitlist and newsletter data — until you unsubscribe or request deletion
- Professional listings — until you request removal or your listing is deleted following rejection
- Contact form messages — as long as necessary to respond to your enquiry
Your rights
Under GDPR, you have the right to:
- Access the personal data we hold about you
- Correct inaccurate or incomplete data
- Request deletion of your data (“right to be forgotten”)
- Object to or restrict certain processing activities
- Data portability — receive your data in a structured, machine-readable format
- Withdraw consent at any time, without affecting the lawfulness of processing before withdrawal
